Understanding how requests move through the system

Expand each stage to see what happens behind the scenes.

A resident opens the app, selects the affected area (unit, common property, car park, garden) and describes the issue. They can attach up to six photos and mark whether the matter affects safety, access or amenity. The request is timestamped and given a reference number automatically.

The manager sees new requests on a live queue, sorted by category and urgency indicator. They can merge duplicate reports, request further photos, or flag an item for committee approval if it involves capital works above an agreed threshold.

From a saved contact list, the manager assigns a tradesperson and sets an expected attendance window. The tradesperson receives the job details and photos directly, reducing back-and-forth phone calls to describe the problem.

Status changes to "in progress" once work begins. On completion, the tradesperson or manager uploads completion notes and photos where relevant. The resident is notified and can confirm the issue is resolved, closing the loop.

Every closed request is retained in the building's history, searchable by category, date range and cost where invoices are attached. This history supports budget discussions and forms part of the record made available at general meetings.
